Clean termination data keeps three systems in step.
Payroll, enrollment and carrier records have to agree after a layoff. Here is where the data goes wrong.
Where the data drifts.
Payroll vs. Enrollment
Payroll may show a separation date that enrollment never received, so deductions and coverage disagree.
Manual Edits
A list built by hand for one carrier rarely matches what another carrier received.
Eligibility Files
A carrier that takes an eligibility file reads the next file as the truth, including any errors in it.
How it plays out.
Take a small example. Payroll records a separation on the 14th. The enrollment system is updated on the 30th. The carrier file runs on the 1st with the enrollment date. Three systems now disagree, and the carrier’s date is the one that decides the bill.
The fix is rarely hard, but it has to be done in the right order: decide the date, correct the enrollment record, then let that record feed the carrier and payroll deduction files.
After the next cycle, spot-check a few people in each system. If the three agree on those, they probably agree on the rest.
How we help.
A broker should take work off a smaller HR team, not add to it.
Reconcile First
We help compare payroll, enrollment and carrier lists before anything is sent.
Fix at the Source
We help correct the record in the enrollment system so every feed carries the same date.
Spot Checks After
We help spot-check carrier files after the next cycle.
Order of work.
Agree the Final Date
Settle one separation date and one coverage end date for each person.
Correct the Enrollment Record
Update the enrollment system first, since other feeds read from it.
Run the Feeds
Send the carrier and payroll files from that record.
Spot-Check the Result
Check a sample in each system after the next cycle.
Mistakes that cost money.
Editing the Carrier Only
A fix made at the carrier alone is undone by the next file.
Two Dates for One Person
Keeping a separation date and a coverage date in the same field causes confusion.
Skipping the Check
Without a spot-check, errors surface only on a bill or a claim.
