Common Questions

How fast should we report terminations to the carrier?

As soon as the date is firm. Each carrier sets its own deadline, and a late report costs more than a prompt one.

The Answer

What drives the timing.

Carrier Rules

Each contract and carrier sets its own reporting window and how far back it will correct a record.

Retroactive Limits

Federal rules limit retroactive cancellation of coverage, so a late report may not undo coverage already provided.

Cost of Delay

Premium may keep billing for people who have left until the record is fixed.

In Practice

How it plays out.

The practical answer is as soon as the date is firm. Carriers do not all work the same way, but most are easier to deal with when the change is reported before the next billing cycle.

A late report can leave premium billing for people who are no longer employees. Federal rules limit how far back coverage can generally be cancelled, so a carrier may not be able, or willing, to undo coverage it already provided.

That does not mean the carrier will never fix it. It means the fix can be slower and less complete, and the employer may carry the cost in the meantime.

The Support

How we help.

A broker should take work off a smaller HR team, not add to it.

We help find each carrier’s reporting window and keep it on the calendar.

Send When Firm

We help send terminations as soon as the date is confirmed.

Billing Reviewed

Waiting for a Batch

Holding terminations until month-end can miss a cut-off.

No Confirmation

Without one, there is no record the carrier received it.
