Benefits Administration Technology

An enrollment platform is sold on the demo and judged on the eligibility file.

The screens employees see matter less than the data that leaves the system every week: who is enrolled, in what, from which date. We choose platforms on how they feed carriers and payroll, then keep watching those feeds after go-live, because that is where plans break in practice.

How We Choose

Four questions decide a platform. The demo answers none of them.

Every platform can show a clean enrollment screen. We test what happens behind it with your plans, your carriers and your payroll system.

Carrier Connections

Each carrier receives enrollment through an electronic feed or a manual form. We confirm which of your carriers have a working feed, because a carrier without one depends on someone remembering to key every change.

Payroll Integration

Deductions have to match elections. We test how the platform sends changes to payroll and how quickly, because a mismatch surfaces months later as an employee who paid for coverage they did not have, or had coverage they never paid for.

Eligibility Rules

Waiting periods, hours thresholds, dependent age limits and class-based contributions have to be configured, not remembered. We check that the platform can hold your rules exactly as your plan documents state them.

Reporting You Will Need

ACA reporting, COBRA qualifying events and census exports all draw on the same data. We confirm the platform produces them cleanly, so year-end reporting is a report and not a reconstruction.

Where Plans Break

Enrollment errors rarely start on the screen. They start between systems.

An employee can enroll correctly and still stand at the pharmacy counter without coverage, because the change never reached the carrier or reached it with the wrong date. We work in service teams of five, and one seat on every team is dedicated to benefits technology for exactly this reason.

File Discrepancies

We reconcile what the platform says against what the carrier bills, so an error is caught on the invoice rather than at the doctor’s office. A terminated employee still on the bill is wasted premium; a new hire missing from it is a denied claim.

Mid-Year Changes

Marriages, births and terminations move through the file differently from open enrollment elections. We watch these event-driven changes closely, because that is where effective dates are easiest to get wrong.

Carrier Changes

A new carrier means a new feed, a new file layout and a testing cycle. We start that work well before the effective date, so the first month of the new plan is not spent chasing missing members.

Running the Platform

Go-live is the start of the work, not the end of the project.

A platform configured once and left alone drifts away from the plan it is meant to represent. We keep it matched to your plans year after year.

Annual Reconfiguration

Rates, plan designs and contribution tiers change at renewal. We update the platform alongside the renewal decision, so open enrollment shows employees the plan you actually bought.

Audit Trail

When an employee disputes an election, the answer is in the platform’s record of what they chose and when. We make sure that record is kept, because it settles questions memory cannot.

Access for HR

Your HR team should be able to answer a coverage question without calling anyone. We set permissions and reports so the people who need the data can see it, and the people who should not, cannot.

Common Questions

What employers ask before they change platforms.

Should we use the module in our payroll system?

Sometimes. It keeps deductions in one place, but its carrier connections and eligibility rules may be weaker than a dedicated system. We compare both on your own plans before you commit.

How long does a platform change take?

It depends on how many carriers and feeds are involved. What matters is starting early enough to test files before the effective date, which is why we plan the change around renewal, not after it.

What if the platform is not the real problem?

Then we say so. Enrollment problems often come from configuration or process rather than the software, and fixing those is faster and cheaper than switching.
