Community banks, credit unions, lenders and agencies already run a documented, examinable process for every other decision of this size. The health plan is usually the one that is renewed on a phone call.
One part of this sector we know unusually well: more than twenty-five mortgage lenders, every one of them between fifty and a thousand employees. If that is you, the mortgage lending page goes further than this one does. To check your own dates, use our free Part D deadline calculator.

A single-branch operation is small enough that the renewal is often settled in one conversation, and old enough in average age that it should not be.
What we do about it: Brings a marketed renewal with the alternatives written down, and keeps the Part D creditable coverage notice on its own calendar.
Applicable-large-employer status and 1095-C reporting begin, and a branch network spreads a modest population across counties where network strength is not uniform.
What we do about it: Checks the network county by county rather than treating the footprint as one market, and documents the affordability method chosen.
Self-funding becomes a real option and switches on Section 105(h) testing, which bites here because the highest earners are a defined and visible group.
What we do about it: Tests the design for 105(h) before it is adopted, and brings the funding decision to the board in the form a board expects.
The plan is a committee matter with minutes, and carve-outs mean several vendors each with their own renewal and their own disclosures.
What we do about it: Runs a documented process the risk committee can read, and keeps one calendar across every vendor.
A written record of what was marketed, which carriers responded, what each returned, what was chosen and why, the standard you already apply to every other decision this size. It records who made the decision and when, and it should include the broker’s compensation disclosure. Kept with the plan records, it answers an examiner, auditor or employee who later asks why the plan changed.
Not automatically. We test adequacy county by county, because carrier networks are rarely uniform across a footprint that size. The check looks at whether the hospitals and practices your employees actually use are in network in each county, not just whether the carrier has a network there. Where one county is weak, the answer can be a second plan option or a different carrier.
A Part D creditable coverage notice on its own deadline, and coordination handled under the Medicare secondary payer rules. We model both alongside the active plan. Where the Medicare secondary payer rules apply, the group plan pays first for a working employee, and offering incentives to move them onto Medicare instead is prohibited. The Part D notice goes out before October 15 each year.
