Payroll Integration

A benefits-payroll health check: what to compare each week and month.

An integration that ran cleanly last month can fail quietly this month. A short, regular comparison catches the problem while it is one paycheck, not a year of them.

What To Know

Why small checks matter.

Errors Rarely Announce Themselves

A deduction that is slightly off, or an employee missing from one file, stays hidden until someone compares the two systems. By then the cost may include months of incorrect deductions, a gap in coverage for an employee or a surprise on the carrier bill. A regular comparison catches these items while they are still small and easy to correct.

Changes Create Drift

A new class, a rate change, a new pay frequency or a system update can break a map that used to work. Mid-year changes are especially risky because they affect several systems at once. Whenever something changes, plan a quick check afterward to confirm that deduction codes, coverage tiers and effective dates still line up in each system.

Three Records Should Agree

Elections in the enrollment system, deductions in payroll and the carrier invoice each tell part of the story. The check compares them. A mismatch between any two is a signal to investigate. Agree in advance on which record is the source of truth for each item, so the team knows where to look first and who is responsible for fixing it.

The Check Is Short

Done on a schedule, most of it takes minutes. It takes much longer after the problem has grown. Keeping the routine small makes it easier to repeat and harder to skip. Assign an owner and a backup, set the schedule on a shared calendar and keep a short log of what was found and how it was resolved.

What To Do

A simple rhythm.

Each Pay Run

Review the exception list from the file transfer and clear every item before the next run. Treat unresolved exceptions as open items with a name and a date rather than a note for later. Clearing them each cycle prevents small file problems from carrying into the next payroll and the next carrier invoice.

Each Week

Compare new hires, terminations and changes between payroll and the enrollment system. List anyone who appears in only one. Timing matters because a new hire or a termination that is missed in one system can affect deductions and coverage for weeks. Ask managers to report changes promptly, and make sure someone owns the list until it is clear.

Each Month

Reconcile the carrier invoice to deductions and elections. Explain every difference as a timing item or an error. Timing differences, such as a mid-month change, are normal when they are understood and documented. Anything unexplained deserves follow-up with payroll or the carrier, and the notes should be saved so next month’s review can start from them.

Each Quarter And At Year End

Spot-check a sample of employees across classes and pay frequencies, and confirm the file map still matches the plan. Include different employee types, such as salaried and hourly staff, and people with mid-year life events. Year-end is also a good time to prepare for the next plan year and confirm that records are ready.

What To Ask

Three questions for the review.

Who Clears The Exceptions

A named person, with a deadline, so items do not carry forward. Accountability matters more than the exact job title, so choose someone who has the access and authority to fix problems. Name a backup for vacations and make sure the person knows how to escalate issues that need a vendor or carrier.

What Changed Since Last Time

New rates, classes, vendors or pay schedules all deserve a fresh look at the map. Write down every change as it happens and use that list as the starting point for the next check. Doing so ties the review to real events rather than depending on memory, and it helps new team members get up to speed.

Are Terminations Handled The Same Way

Check that coverage end dates, final deductions and continuation notices follow your written rules. Terminations are a common source of errors because several people touch them and dates may not match. Compare a recent sample of departures against payroll and the carrier, and ask counsel to confirm that notices follow your written rules.

Common Questions

Common Questions About The Health Check

How often should we compare the systems?

Clear exceptions each pay run, compare changes weekly and reconcile the carrier invoice monthly.

What is a timing difference?

A difference caused by when each record is created, such as a deduction taken in a different month than the premium was billed. It resolves on its own once you account for the calendar.

What should we do when records disagree?

Decide which system is the source of truth for that field, correct the other and note the cause so it does not recur.

Who should own this?

One person at the employer and one on the service team, with a backup for each.

Does this replace an audit?

No. It is routine maintenance. A fuller eligibility reconciliation is a separate and deeper review.

Do you process our payroll?

No. We do not process payroll. We help with the integration and the checks that keep it accurate.
